Privacy Policy

CoachSpace ("we", "us") is a sports club management and booking platform operated from Ontario, Canada. This policy explains what personal information we collect, how we use it, and the choices you have. It applies to the coachspace.ca website and the CoachSpace mobile apps for iOS and Android.

Information we collect

We collect the following information when you use CoachSpace:

  • Account details — your name, email address, and password (stored only in hashed form). If you sign in with Google, we receive your name, email address, and profile picture from Google instead of a password.
  • Profile information — an optional profile photo and details you choose to add to your profile.
  • Club and activity data — the clubs you belong to, your roles (student, coach, staff, or owner), class bookings, schedules, attendance, booking-form responses, and waivers you sign.
  • Payment records — the payment status of your bookings and, if you choose to upload one, an image of your proof of payment (such as an e-transfer screenshot). We do not process or store credit card numbers.
  • Website analytics — the coachspace.ca website uses Vercel Analytics to collect anonymous usage statistics. The mobile apps contain no advertising and no third-party analytics.

Device permissions (mobile apps)

The CoachSpace mobile apps only use device permissions when you actively choose a feature that needs them:

  • Camera and photo library — used only when you choose to set a profile photo. The image you select is uploaded to your profile; we do not access your other photos.
  • Calendar — used only when you choose to add a class to your device calendar. We create that event; we do not read or collect your other calendar entries.

How we use your information

We use your information to:

  • Provide and operate the service — scheduling, bookings, and club management.
  • Sign you in and keep your account secure.
  • Send service emails, such as email verification, club invitations, and booking updates.
  • Respond to your support requests.
  • Prevent abuse and comply with legal obligations.

How we share information

We do not sell your personal information, and we do not share it for third-party advertising. Information is shared only:

  • Within your club — coaches and club staff can see the information needed to run classes (such as rosters, bookings, attendance, and booking-form responses), based on their role.
  • With service providers working on our behalf — Google Cloud Platform hosts our servers and data in Montreal, Canada; Google provides sign-in; Vercel hosts the website and its analytics; and an email delivery provider sends our service emails.
  • When required by law — if we must disclose information to comply with a legal obligation or protect the safety of our users.

Data storage and security

Your data is stored on Google Cloud Platform servers in Montreal, Canada. All connections are encrypted in transit using HTTPS, passwords are stored hashed, and access within a club is restricted by role. No online service can guarantee absolute security, but we work continuously to protect your information.

Data retention and deleting your account

We keep your information for as long as your account is active. You can request deletion of your account and personal data at any time — contact us using the details below, or use the delete-account option in the app where available. We will delete or anonymize your data, except for records we are legally required to keep.

Your rights

Depending on your location — including under Canada's federal privacy law (PIPEDA) — you have the right to access, correct, or delete your personal information, and to withdraw your consent. To exercise any of these rights, contact us and we will respond within a reasonable time.

Children

CoachSpace accounts are intended for people aged 13 or older. Classes for younger athletes should be booked and managed by a parent, guardian, or club staff. We do not knowingly collect personal information directly from children under 13 — if you believe a child has provided us their information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. Updates will be posted on this page with a new "last updated" date. If a change is significant, we will also notify you through the service.
